Refunds & cancellations
When fees for reconciliation reviews can be refunded, partially credited, or retained.
Scope of this policy
These terms apply to paid engagements for bank reconciliation reviews, period-end cash checks, and discrepancy investigations. This site does not sell physical goods or software licences.
Eligibility
Refunds are considered when we cancel an engagement we cannot staff, when you cancel before work begins under the timelines below, or when we materially fail to deliver the agreed memo without a client-caused blockage.
Timeframes
- Full refund of deposit: written cancellation at least 5 business days before the agreed start date, provided we have not yet accessed your files.
- Partial refund (50% of deposit): cancellation 2–4 business days before start, or after file access if no substantive matching has begun.
- No deposit refund: cancellation within 1 business day of start, no-shows for agreed on-site sessions, or after substantive review work has begun.
Fees already earned for completed days of investigation or partial memos already delivered are non-refundable.
Work already started
Once matching or sample selection has begun, fees reflect time spent. We may offer a reduced final invoice for unused remaining days rather than a cash refund of the deposit.
Rescheduling
One free reschedule is allowed with at least 3 business days’ notice. Further reschedules may incur an administrative fee of HKD 800.
Non-refundable items
- Diagnostic half-days already delivered
- On-site attendance days already worked
- Third-party courier or certified copy costs advanced at your request
Process & timing
Email info@datastreamtools.digital with your engagement reference and reason. Approved refunds are processed within 14 business days to the original payment method (bank transfer in HKD for Hong Kong clients).
No-shows
If our reviewer arrives on-site at the agreed time and your contact is unavailable without prior notice, that day is billable and the deposit for that day is non-refundable.
